In this module you will learn how to enter information into validated fields, enter information from another form and enter IDs.
Entering Information Into Validated Fields
If a field name has a drop down button following it then that field has predefined values. That field will accept codes only from a defined List of Values (LOV).
Most codes and associated descriptions in an LOV are defined on a validation form, which can contain more than just the valid codes and associated descriptions.

Only information that is relevant to the current form is displayed in the LOV, when the LOV is called from a specific field.
If you know the code, you can key it in and the full description will be displayed without using the LOV.
To assist in entering information into validated fields, there is a code/description lookup feature. It is available on all fields that have a drop down button following it. It can be used to:
- Look up a code/description based on a partial entry.
- Display the entire LOV and select a code.
To look up a code or description in a field with a drop down button following it.
1. Enter as much of the code or description as you know. Use the Oracle wildcard (%) to represent any number of unspecified characters.
| Example: To search for the code and descriptions that start with "A", in the field type A%. If you do not put in the %, the search will look for an exact match of A. |
2. Press Enter.
If one match is found, the code and description are returned and ends the search.
If more than one match is found, the Search Results window shows all matches. Go to Step 3.
If no matches are found, you will get an error message in the auto hint display screen. Return to Step 1.
3. If the desired value is not the first one listed in the Search Results window, scroll to the desired value.
4. Either double-click on the desired value or highlight the desired value and press Enter. The Search Results window closes and the selected value is returned to the code field.
To Display the entire LOV for a field with a drop down button following it using the mouse:
1. Double-click the code field.
2. An Option List will appear if more than one form or window is associated with the field. Click on the option for the LOV needed to display. Otherwise the LOV appears automatically.
3. In most cases, the complete code list is displayed when LOV opens, if necessary scroll to the desired value in the LOV.
4. Double-click the desired value. The LOV closes, and the selected value is returned to the code field.
To Display the entire LOV for a field with a drop down button following it using the keyboard:
1. Use the Next Item function until reaching desired code field.
2. Select the List function and the LOV appears.
3. Scroll to the desired value.
4. Press Enter. The LOV closes, and the selected value is returned to the code field.
Entering Information from Another Form
Many fields will let you call another form, select information from the called form and return the selected information to the current field. This feature can be used if a Search button appears next to the field.
Entering IDs
ID fields for persons and non-persons (entities) are available in Banner forms.

If you know the complete ID in an ID field, you can enter the information. If you do not know the ID, there are two ways to search for the ID:
- Use the ID/name search feature on the current form (preferred)
- Use a product-specific search form.
ID/Name Search Feature
This search feature is used directly on the current form. The complete ID, complete name can be entered or the ID or name can be searched for. The search can be narrowed by search criteria such as person/non-person, city, date of birth, and gender.
To enter a complete ID:
1. Enter the full ID
| Example: 111223333 in the ID field |
2. Press Enter. The ID and name will appear.
To enter a complete name:
1. The ID field is blank.
2. Tab to Name field (unlabeled field next to ID field).
3. Enter the full name. Format is last, first, middle with commas

4. Press Enter
If one match is found, the ID and name are returned to the form
If more than one match is found, the ID and Name Extended Search window appears. The field next to the Search Results field shows the number of matches.
To search by partial ID:
1. Enter the partial ID in the ID field and use the Oracle wildcard % to represent any number of unspecified characters or to represent 1 character. If you can't read a digit enter 1234_6789 to find all that start with 1234, end with 6789 and have any character in the fifth place.
| Example: To find all IDs that begin with 55 use (55%) |
2. Press Enter.
If one match is found, the ID and name are returned to the form.
If more than one match is found, the ID and Name Extended Search window appears. The number of matches shows in the field next to the Search Results.
To search by partial name:
1. The ID field must be blank.
2. Tab to the Name field located next to the ID field.
3. Enter a partial name in the Name field
The format is last, first, middle with a comma between each part of the name. Spaces are optional and characters can be upper or lower case. Use the Oracle wildcard % to represent any number of unspecified characters.
| Example: Smith, J% - all IDs with last name Smith and first name begins with J. |

4. Press Enter.
If one match is found, the ID and name are returned to the form.
If more than one match is found, the ID and Name Extended Search window appears. The number of matches shows in the field next to the Search Results.
To select an ID from the matches in the ID and Name Extended Search window:
1. Pull down the list of matches in the Search Results field in the ID and Name extended Search window by clicking on the down arrow. Previous names and IDs are indented under the current name.
2. Using the side scroll bar, scroll to the desired name and ID.
3. Click the desired name and ID to return to the form.
Date Format
MMDDYY, Mon,Day,Year, MM/DD/YY

Recommendations
1. Enter two digits for day and month such as 01 instead of 1. Exp: 02/05 will give Feb 5th of current year.
2. If you enter only part of the date, the rest of the current date is defaulted.
3. A date can be entered without separators or you can use a dash (-), slash (/), comma (,) or period(.).
4. Click on date field to view a calendar. Move through the calendar to the desired date and double click on the desired date to return to the previous form.
Dates in Job Submission
Use DD-MON-YYYY or DD-MON-YY format to enter date parameters for reports using GJAPCTL. With cursor in the date field, see example format just below the parameters box.
Use sysdate to default in the current date.
Navigation in a Nut Shell
1. Click on the Banner PROD Icon under Banner on your Start menu
2. Login into Banner PROD using login name and password
3. Key in the form name and press enter
4. If you do not know the required field information such as Social Security Number, perform a query or list all values
5. Select the required information
6. Perform a next block (ctrl page down) or previous block (ctrl page up) to access the information block or fields to key in data.
7. When finished, exit by clicking on the X in upper right hand of screen until you get the message "Are you sure you want to exit this SCT Banner session?" Click "yes".
